Identify the contact and role
Record the person’s name, company, phone and email, claim number, and which person or policy the company says it represents. Do not assume an adjuster represents your interests. Ask for the role in writing if it is unclear.
Log each exchange
For calls, note the date, time, number, participants, topics, requests, promised follow-up, and any stated deadline. Save complete emails or letters and attachments. A short factual summary is more useful than an argumentative note.
Track documents sent and received
List the file name, date range, delivery method, recipient, and confirmation. Avoid sending your only copy. Ask what is requested before authorizing broad access to medical, employment, or financial information.
Separate an offer from a final decision
Record the amount, terms, expiration date, release language, liens or bills mentioned, and treatment of fees or expenses. A general guide cannot evaluate an offer. Ask a qualified local lawyer before accepting or signing if you are unsure.
